5 Strategies for Planning Successful Corporate Team Building Events

Hosting a corporate event is great for your company’s growth, but there’s a lot that comes with it. In 2023, 81% of companies started to incorporate more in person events. When it comes to planning your next corporate event, you want to be prepared and strategic to set yourself up for success. This is an opportunity to strengthen connections, and taking it step by step is the easiest way to achieve your goal and purpose.

Here are the 5 P's we suggest for planning successful corporate events: 

 

1. Purpose 


So you decided you want to host an event, now what? 
The earlier you do this, the better. It’s time to identify your goals and ideal outcomes for your corporate event. Some questions to consider answering are:

  • What is the purpose of this event?
  • What type of event do we want to host?
  • Will we provide food?
  • What does a successful event look like?
  • What is our goal?
  • Is there a call to action?
  • How will this benefit my current team?


Once you’ve answered these questions, everyone planning the event should have an aligned vision and know how to move forward.  


2. Plan 


It’s all about the little things; from finding vendors, staying within your budget to pivoting if something goes wrong. Although you can’t plan for everything, you can plan for most things. This is where you want to sit down and put all of your heads together to create a successful event. Problem-solve all of the what-ifs with your team beforehand so you know what to do in case something goes wrong. Another great tool is a master checklist that’s accessible to everyone. This can keep track of all items and deliverables for the day and ensure all goals are met.
 

3. Place


One of the largest tasks is choosing when and where to host your corporate event. You’ll want to pick a date that’s at least a month out so there’s time for attendance, planning and execution. Giving your attendees time to make sure they can go is important so consider their availability. 

Next is location, event size, and requirements. You want the location of the event to be accessible but affordable. The last thing you want is for travel to be a major issue or expense. When choosing a venue ask about their max capacity, parking accommodations and if putting up signage is possible. You’ll want that day to be seamless so giving attendees thorough instruction is important.
 

4. Promote 


Partners and promotion are going to be essential to your successful corporate event. Brainstorm promotional plans and have unique marketing for the event. While partners help with costs and promotion, you want to ensure they align with your business and event goals.

Having relevant partners at your event will elevate the experience, and they can even serve as speakers or hold sessions during the event. The more involved and passionate your team and partners are the more successful your corporate event will be. Especially if you’re hosting an active event such as meal packing or a food drive where you want your team to participate. 
 

5. Provide


Here comes the day of the event and it’s time to execute. Before the event starts, do a final walkthrough and treat it as a rehearsal. This will help you put out fires before the event begins and ensure a smooth experience. After the event is done, attendees can provide feedback. Set up a post-event survey and use the information to help with future events.
